A. Keyboard Alternatives to the Mouse
WorkFlows function keys are configured according to the toolbar in use.
To view the function key assignments for the Cataloging toolbar, click on
Preference on the menu bar, then on Function Keys. Be sure
the Toolbar Mapping radio button is selected, then click on
Display. The Cataloging toolbar function keys are configured to
bring up the "first step" windows in each process, such as editing a
title, adding a copy, etc., so the function keys can be used instead of
clicking on the toolbar icons for those functions.
Some other keyboard options:
- The side arrow keys move between horizontally arranged
radio buttons (such as Browse and Exact). The cursor must already be on a
radio button in order for this to work.
- The Tab key moves forward between writable fields (boxes in
which you enter data) and the next-step buttons at the bottom of the
window. Shift + Tab moves back.
- The next-step buttons have numbers on them; to perform the function
indicated on the button, press Alt + the number.
- F2 and F3 move between folder tabs, e.g. between the
bibliographic record and volume/copy display.
- To move from one line to another in an index list, you can use the
up and down arrows.
- If you prefer to type in search parameters instead of using a
pull-down menu, you can type the first letter or two of the menu selection
and the system will supply the rest (AU to search by author, MC to select
a search in McCain Library, etc.).
B. Printing
When you print from WorkFlows for the first time, you must specify a
word processing program for the information to print from. Click on the
printer icon in the toolbar. The "Select Print Executable" window will
display. Look in your "Accessories" folder and select WordPad. Click Open. You will now be able to print information from WorkFlows as
WordPad documents. To alter print settings after they have been set up,
click on File in the menu bar, then on Print Setup.
It is also possible to make screen prints directly from the Home
function. With a record or index display on the screen, click on the
printer icon. Select Print Screen from the options, then press
Enter.
C. Search Settings
Search settings can be set to display automatically at the start of
every session. If you do not have them displayed, right-click on the
button for the function you are performing (Modify Title, Display Item,
etc.), then on Properties. Under Lookup Preferences, you can
select a preferred search type, search index, and library. Also in this
window, under Title/Bibliographic Info, is the site for selecting
the default view of bibliographic records. Select ALL for the most
complete view.
D. 006 Fields
To add 006 fields when you are editing records, right-click on the
Modify Title button, then click Properties. Under
Title/Bibliographic Info, there is a box labeled Add 006
for. Select the appropriate format for your 006 from the pull-down
menu, then click OK. The 006 will be added below the fixed fields
in your bibliographic record. Caution: after you finish editing
the record, remember to reset the 006 option to NONE, which is the
default. Otherwise, WorkFlows will continue to add 006 fields for the
format you selected to every record you edit. To remove an 006 added in
error, click in the first box of the 006 (TypeCode) and type the word NONE
(be sure to use upper case), then click OK.
E. Call Number Browsing
To browse call numbers, make sure the appropriate classification scheme
is selected for the number you are searching for. For example, to browse
call numbers in an alphanumeric classification such as manuscripts, click
on the "binoculars" icon in your search window. Under Shelving
Scheme, select the ALPHANUM option, then click OK.
Change settings back to the default LC option before searching for
an LC number.
F. HOME Function
By clicking on the Home button, you can pull up the public
catalog display of records and indexes. Type your search in the box and
hit Enter. This display functions like the regular Anna display,
with working hyperlinks to URLs and between headings. Cross references
also work in this display, unlike the regular WorkFlows
bibliographic displays.
