Policies For Edit Cataloging of Curriculum Materials: Book Format

When edit cataloging books format of curriculum materials, the following fields need special attention:

 

020

If an item has multiple parts with an individual ISBN for each, use multiple 020s with ( ) qualifier to indicate the difference. E.g.:

  • 020 4889023378 (textbook)
  • 020 4889023329 (workbook)
040 Gunn and Cox/Currlab have different OCLC symbols. When searching, editing and updating a record for a Cox/Currlab item, use Cox OCLC authorization to logon. The 040 should be MLA.
049 For Gunn materials, 049 should be MUSH; for Cox/Currlab materials, 049 should be MLAC.
099 Use 099 field for an alphanumeric call number. Consult the In-house Classification Manual for subject terms and call number patterns. Check Style Sheet and Publisher List for call number parts when applicable. Keep 050, 090 fields (LC call numbers); delete 082, 092 fields (Dewey call numbers)
250

In cataloging curriculum materials, you will often see a teacher's edition statement. It really means that "this is the version for teacher." If the title, publisher, and publication date are exactly the same with the student textbook, don't create a separate record just because of the "teacher's edition" statement.

When you catalog student textbook and teacher's edition in a single record, do not use 250 for "teacher's ed."

300 If there is $e, make sure that it matches all the supplementary parts of the item in hand. Otherwise, edit $e and/or make 500 notes. Since WebCat will not display $e, add a 590 note describing accompanying material.
440 Use 440 to trace a series title. If a record has 490 0_, change to 440 _0. See series policy in local cataloging standards document.
501 If the item is bound with another publication(s), use 501 (With Notes) See MARC21 Concise Bibliographic for format of this field.
520 Make summary notes when needed.
521 If the item has specific audience information (level, ages or grades), make a 521 note. E.g.: 521 Grades 4-6.
650 When using $x Study and teaching as subheading, specify the level if possible, e.g. $x Study and teaching (Elementary), etc.
710 If the item is a textbook, the record should have a 710 field for the publisher. Check if it is the authorized heading. Sometimes there is no authorized heading for a publisher. In this case, transcribe the name of the publisher as it is in the item.

740

Use 246 rather than 740 for any title variations. In case the item has multiple parts with individual titles, use 740 with indicators 02. Then, the record should have either a 505 contents note or 501 with note corresponding to 740(s).
856

In some records you will see an 856 field with $u containing a URL of the publisher web site. While this can be additional source of information on the item and helpful to you at the time of cataloging, it is not our policy to have an 856 in a record for print format.
