Mail Procedures

Acquisitions Staff are responsible for receiving mail and outgoing mail.

Outgoing mail from Acquisitions: Outgoing mail is located in small file tray next to paper cutter.

Incoming mail: Mail is delivered twice daily by the Shipping and Receiving clerk ( currently David Sumrall).

 Morning delivery is approximately 10:00 a.m and afternoon delivery is approximately 3:00 p.m.

  1. Before opening anything, make sure all items are addressed to “Cook Library Serials” or an employee of Bibliographic Services. (personal mail not accepted)
  2. Open mail, sort by “Invoices”, “Renewals”, “Catalogues”, “Serials Publications” and “Serials correspondence” (such as replies to claims sent by a member of Serials).
  3. Date stamp “Invoices”, “Renewals”, “Serials’ correspondence. (Do not stamp “Catalogues” or “Serials Publications”)
  4. Place together and rubber band the following: “Invoices”, “Renewals” and place in Acquisition’s Supervisor’s Tray (currently Lucy Cameron).
  5. Place “Catalogues” on small filing cabinet next to green large filing cabinets.
  6. Place “Serials Publications” on sorting table in Serials.
  7. Route “Serials correspondence” to person addressed.
  8. If any Gifts are received via mail, forward to Elayne Lockett, Information Services.
  9. ***NOTE** we do NOT handle checks! At times, we receive checks for Circulation and ILL ( due to being addressed to general Box #5053). Alert your supervisor of ANY checks received, opened or unopened!!!
