Tutorial
Options for Retrieving Articles

Contents of this Tutorial:

1.) Description: Options for Articles not in the USM Collection

2.) Checking the USM Libraries' Collections

3.) Ordering Articles not Available in the Libraries' Collection

***********************
1.) Description: Often, the article that you want is not available full-text in the database that you are searching. If an article is not full-text in the database you are searching, there are other methods available for getting the article. This tutorial will walk you through the various options.

2.) Checking the Libraries' Collection

A. Using the library catalog: When an article is not available in our databases, it is necessary to check the online library catalog. (Most databases offer access to a search engine called “Find It!” which (1) checks other library databases for a full-text copy of the article and then (2) assists you in checking the library catalog for the journal if the article is not available online.

If USM Libraries owns the volume/issue of the journal you need, you can make a photocopy of the article. (If you are a distance education student and cannot come to campus, options for receiving the article are discussed below).

Practice Session
1.) On the library's home page to the right, locate and click on "Articles" under the Find It section.
2.) From the drop down menu under "Browse by Subject or Academic Area" select "Literature."
3.) Listed are all of our databases that can be used to find materials dealing with literature. Click on "MLA (Ebsco)."
4.) (Note: If you are working off-campus, enter your USM ID and password when prompted). In the search box, type in jane austen and persuasion and click "Search." Look at the results page.
5.) For each citation that does not have a link to the full-text article, a link to "Find It!" is provided to see if the journal title is owned by USM Libraries. For any article on the page that is NOT full-text, note the journal title (not the article title) and the year (or volume #) from the citation. Click on the "Find It!” link beneath the citation.
6.) A separate window will open. First, “Find It!” performs a search for the full text of the article in various library databases. If the article is not available in full-text, you can tell “Find It!” to perform a search in the library catalog for the journal title. If the library does not own the journal, you will not retrieve any records for that search. If USM Libraries does own the journal, a record should appear for the journal title. If more than 1 record appears, it is because there are separate records for each format the library receives (print, microfiche, microfilm, online). If more than one record appears, click on the title to view the record and scroll down to the bottom of the page to view the volumes and issues that the library owns in that format.

Quiz Question #1

1. From the citation info we noted in EBSCO, does Cook Library have the journal and year (volume) we need?
Yes
No

(Note: If the holdings indicate that the journal is at the USM Gulf Coast Library (or at the Hattiesburg library if you are on the Coast), you can still get the article. You can request the article by placing a Campus-to-Campus request through Document Delivery (see below).

Sometimes the library's subscription to a journal is electronic. That means that instead of the journal being available on microfilm, microfiche, etc. the journal is available online in full text. If this is the case, the record in the library catalog will provide a link t view the journal online.

Quiz Question #2
2. Sometimes more than one record appears in the library catalog for a journal title. This happens because:

The catalog repeats itself
Sometimes the library gets the journal in different formats
The records are for another library outside of Mississippi

B. Eagle Express: If an article(s) you need IS AVAILABLE within the USM Libraries' collection and you would like us to make a copy of it for you, can have that article scanned and delivered to you electronically via Document Delivery using Eagle Express. There is a minimal charge for Eagle Express articles. You can place a request for Eagle Express articles through Document Delivery. (Document Delivery is also the system you will use to place Campus-to-Campus requests and to order items not owned by USM Libraries.

3.) Ordering Articles Not Available in USM Libraries

A. Document Delivery: If a journal article you need is not available through a full-text database or in the library's collection, the Document Delivery department can order it for you. To access Document Delivery services, you must first create an account with the service.

1. To sign up for Document Delivery, click on Document Delivery from the library home page, then click on the “Access Illiad” button. This will take you to the registration page.

2. To set up an account for the first time, enter your USM ID and password. The following screen allows you to enter your personal information and set up your account. The system requires that you register so you will only have to enter your personal information (name, mailing address, etc.) once. Red asterisks on the registration form indicate required fields.

3. Click "Submit" once you have completed the registration process. Instructions for contacting the Document Delivery department are available on the registration page if you are having problems with your account.

There are two ways to order an article from Document Delivery.

1. You can click directly on the “Document Delivery” link on the library’s home page, click on “Access Illiad,” and then log in and fill out the “Request an Article” form.

2. If you are already in one of the library's article databases and the article is not available full-text or in the library catalog, the "FindIt!" box gives a link to Document Delivery. You will be prompted to log in to the system. Once you have logged in, the system automatically fills in some of the information on the article request form based on the item you are viewing. You will need to add information about what, if anything, you would be willing to pay for the article. You will also need to supply a date after which you would no longer need the article.

If you are in Document Delivery while working on this practice session, make sure to log out before continuing so that the system does not receive your article request.

Quiz Question #3
3. Document Delivery can be used to:

Find articles about my topic
Search for books and other information
Order articles not owned by USM Libraries

***********************
B.) Document Delivery Services: Document Delivery services, as you have already noticed, can be used for more than just ordering articles not owned by USM. Document Delivery, also known as ILLiad, can be used for placing Campus-to-Campus request forms as well. Other types of materials that can be ordered through Document Delivery include books, theses, and dissertations.

Document Delivery also provides access to a copying service called Eagle Express. Eagle Express allows you to request copies of articles already owned by the library. It began as a photocopying/mailing service but now provides fast and reliable, all-electronic delivery if you prefer that format. In this case, USM Libraries passes the regular cost of photocopying/scanning on to you, along with a nominal service charge. Originally Eagle Express was a service for distance-education students, but it is also popular with on-campus users. Eagle Express articles are scanned by library staff and delivered to you electronically through your Document Delivery account.

Non-USM materials ordered through Document Delivery Services usually arrive at USM within ten to fourteen working days after a patron submits a Document Delivery service request, though some items may take longer. Many items, particularly articles, may only take a few days to a week to arrive. By logging in to the Document Delivery system, you can check on the status of your request and determine exactly when your item was sent or mailed by the other library. Charges for Document Delivery services vary depending upon the policies of the lending library. Most items obtained are free of charge to the patron. However, some items borrowed do require payment.

Practice
1.) Locate and click “Document Delivery” from the library's home page.
2.) Click on "Access Illiad."
3.) Enter your USM ID and Password.
4.) How would you request an article from the Gulf Coast campus? Locate the "Campus to Campus Request" button.
5.) How would you request a copy of an article already owned by USM Libraries? Locate the "Eagle Express Request" button.
6.) Typically, this is where you would fill in the form to order an article through Document Delivery Services but since this is just practice, we'll just log out.

Quiz Question #4
4. Document Delivery Services can be used to:

Borrow money for a car
Order books, articles and dissertations not owned by USM Libraries
Search for books owned by USM Libraries
